Pricing Private Events at Black Fodder Café

Purpose

This SOP explains how to price in‑café private events consistently, profitably, and defensibly. It is for internal use only.


1. Core Principle

We price private events to:

  • Protect normal café revenue (especially during peak hours)

  • Cover staffing, risk, and operational complexity

  • Scale fairly with event impact

We do not price per person. We price via minimum spend requirements.


2. Start With the Minimum Spend

Every quote begins with a minimum spend derived from:

a) Time & Displacement

  • Peak window (11–2) carries the highest displacement weight

  • Weekend and peak overlap increase protection

  • Full buyouts imply 100% displacement

b) Space Impact

  • Reserved area vs full buyout

  • Larger footprint = higher protection

c) Protection Multiplier

  • Prevents underpricing short, high‑impact events

  • Especially important for weekends and peak hours

The model calculates a rounded minimum spend that reflects real opportunity cost.


3. Client Type Policy (Not Discounts)

Client type affects firmness and risk protection, not visible discounts.

Business / Corporate

  • Baseline rules

  • Least flexible, most predictable

  • Hosted beverages common

Private Events (Birthdays, Baby Showers, etc.)

  • Same base pricing

  • More flexibility on food, décor, and format

  • Dessert add‑ons common

Weddings (Separate Category)

  • Higher expectations and scope risk

  • Higher floor minimum and protection multiplier

  • Stricter policies (timing, alcohol, deposits)

  • Never negotiate down to standard private‑event pricing

Nonprofit / Community

  • Standard minimums still apply

  • Support via policy exceptions, not discounts:

    • Off‑peak encouragement

    • Alcohol disabled

    • Optional fee waivers case‑by‑case


4. Beverage Pricing Rules

Coffee & Non‑Alcoholic

  • Full café menu available

  • Beverage plans:

    • Cash bar

    • Hosted (1 drink / 2 drinks / unlimited)

  • Hosted plans increase the minimum (guaranteed consumption)

Alcohol

  • Never assumed

  • Options:

    • No alcohol

    • BYOB (with corkage)

    • Café‑provided wine/beer (future)

    • Espresso martinis (future premium)

BYOB

  • Flat corkage fee per event

  • Covers supervision, cleanup, glassware, and risk

  • Requires approval

Alcohol fees are additive and only applied when permitted.


5. Food Pricing Rules

Food Models

  • Provided by Black Fodder Café

  • Outside catering / food only

  • Outside catering + Black Fodder desserts

  • No food

Fees

  • Outside food coordination fee applies when food is brought in

  • Mixed food events add a dessert service fee

  • Dessert fee is per guest with min/max caps

Café‑provided food is priced through the minimum spend, not via outside‑food fees.


6. Time, Setup & Décor

  • Events are priced in 3‑hour blocks

  • Early access / extended time may increase minimums

  • Décor allowed with limits:

    • No confetti or glitter

    • No permanent attachments

    • Birthday cake candles allowed briefly

    • No sparklers or decorative flames


7. Staffing & Labor

  • Staffing scales with guest count, duration, and beverage format

  • Labor is baked into pricing, not itemized

  • Minimum spend protects against labor‑heavy underpricing


8. Deposits & Booking

  • Deposit required to hold the date

  • Deposit = max(fixed minimum, % of total minimum)

  • Inquiry submission does not reserve a date


9. Guardrails

Never:

  • Discount minimum spend ad hoc

  • Waive displacement during peak hours

  • Treat weddings like standard private events

  • Approve alcohol without explicit permission

We host a limited number of private events in our café and price them in a way that ensures great service while protecting the everyday café experience.

How Pricing Works

Private events are priced using a minimum spend, rather than a per‑person fee. This approach keeps pricing flexible while reflecting the time, space, and staffing required for your event.

Your minimum spend is influenced by:

  • Date and time of the event

  • Duration

  • Size and layout of the space

  • Whether the event overlaps peak café hours


Food & Beverages

You may choose from several food and beverage options:

  • Café beverages served à la carte or as hosted service

  • Café‑provided food and desserts

  • Outside catering (with coordination fee)

  • A combination of outside food and café desserts

Hosted beverage service increases the minimum spend since it represents guaranteed service for your guests.


Alcohol Policy

Alcohol is not assumed for any event.

Depending on availability and approval, options may include:

  • No alcohol

  • BYOB (with corkage fee)

  • Café‑provided wine or specialty cocktails (future availability)

All alcohol service is subject to approval and local regulations.


Timing & Setup

  • Events are typically booked in 3‑hour blocks

  • Early access or extended time may affect pricing

  • Simple décor is welcome; some restrictions apply to protect the space


Deposits & Booking

  • A deposit is required to reserve your date

  • Dates are not held until confirmation and deposit are received


Final Notes

Our goal is to host events that feel relaxed, thoughtful, and well‑run—without turning the café into a banquet hall. Minimum‑based pricing allows us to do that while staying fair to all guests.
